Saleshandy
Our default for new sending domains. The warmup has been the most reliable of the four in our programs, the unified inbox is clean, and it's the tool we recommend to founders who want to check a campaign once a week and get on with the business. The trade-off is that at very large volumes the platforms built for scale give you more control.
Instantly
Built for volume. Unlimited inboxes, a big warmup network, quick campaign setup and a benchmark report we cite throughout these guides. It's the right choice when a program needs dozens of domains running in parallel and the team is comfortable managing them.
Smartlead
Similar scale to Instantly with more knobs: sub-sequences, detailed per-inbox settings and an API that suits agencies running many clients. More to learn, more control once you have.
Apollo
Different category. Apollo is a contact database with sequencing attached, so a small team can find prospects, verify emails and send from one screen. We use it heavily for list building, and it's a sensible single tool for a company that isn't ready to run a separate sending platform. For high-volume cold email we still pair it with one of the three above.
The tools around the platform

- Verification: ZeroBounce or MillionVerifier before every send. Instantly's report sets 2% as the bounce ceiling, and verification is how you stay well under it.
- CRM: Salesforce for teams that already live in it. We run plain-text sends through Salesforce for some clients and keep the cold platforms for volume.

- Already on Salesforce with a sales team: Salesforce for the team's sends, a cold platform for the outbound program, n8n between them.
Whatever the tool, the setup underneath is the same: separate domains, SPF, DKIM and DMARC, two to three weeks of warmup and 25 to 50 emails per inbox per day. The platform is the easy part.
